Terms & Conditions

All paid and non-paid participants who register for or participate in any activities, courses, or services provided by Vidive Dive Club (V.I グループ株式会社) (hereinafter referred to as “Vidive”) are deemed to have read, understood, and agreed to comply with all terms and conditions stated herein.

【Booking Amendments】

  1. Participants may change their booking date or number of participants once free of charge if notified at least 7 days prior to the activity date, subject to availability.

  2. No amendments can be made within 7 days before the activity. However, requests for additional participants may be accommodated depending on availability. Please contact us as early as possible and we will do our best to assist.

  3. Once the activity has commenced, no refunds will be provided for any withdrawal, cancellation, or incomplete participation due to personal reasons.

  4. If participants are late, absent, or fail to arrive at the designated meeting time due to personal reasons, Vidive will not provide any compensation, rescheduling, or refunds.

  5. Vidive reserves the right to adjust the activity schedule, location, dive site, or itinerary based on sea conditions, wind direction, weather, and safety assessments on the day of the activity. Participants are advised to allow sufficient flexibility in their travel schedule.

  6. If the reserved dive site is deemed unsuitable for the activity on the day due to safety or environmental conditions, Vidive will make reasonable efforts to arrange an alternative dive site, reschedule the activity, or provide other feasible arrangements. If no suitable arrangement can be made, Vidive will refund the paid amount after deducting a 2% handling fee.

【Cancellation Policy】

  1. If participants are unable to travel due to flight cancellations, airport closures, extreme weather conditions (such as typhoons), or other force majeure events, participants may provide relevant proof to request a booking amendment. Vidive will make reasonable efforts to arrange an alternative date. Refunds will only be considered if the available rescheduled dates cannot accommodate the participant’s itinerary, in which case the paid amount will be refunded after deducting a 2% handling fee.

  2. If a major disaster occurs on Okinawa Main Island within 7 days prior to departure — including but not limited to severe earthquakes, war, epidemics, or significant government travel restrictions — resulting in the activity being unable to proceed as scheduled, Vidive will offer the following flexible arrangements:

• Reservation credit valid for use within one year, free of charge; or
• Transfer of the activity booking to another participant.

【Insurance】

  1. We strongly recommend that participants purchase travel insurance covering activity cancellations or changes caused by bad weather or other force majeure events for more comprehensive protection.

  2. All participants are required to obtain valid travel insurance prior to joining the activity, and the insurance coverage must specifically include scuba diving and water activities. Vidive reserves the right to request proof of valid insurance coverage at any time. If sufficient coverage cannot be provided, Vidive reserves the right to refuse participation without refund.

【Equipment Rental Terms】

  1. Participants are responsible for properly using and caring for all rented equipment and must avoid any misuse, negligence, or intentional damage.

  2. All rented equipment is strictly for use by the renter only and may not be transferred, sublet, or lent to others.

  3. Any loss, theft, or damage to rented equipment must be reported to the Vidive team immediately.

  4. If any rented equipment is damaged due to misuse, negligence, or accidents caused by the participant, the participant shall compensate Vidive based on the assessed repair costs.

  5. If any equipment is lost, stolen, or damaged beyond repair, the participant shall compensate Vidive for the full replacement cost of the equipment.

  6. All compensation fees must be paid immediately on-site. If a compensation receipt is required, participants must request it within one day after payment.

【Photography Terms】

  1. All copyrights of professionally captured photographs and videos belong to Vidive and the photographer. Participants are granted a non-commercial usage license for personal and family use only, including printing and sharing on social media.

  2. If participants intend to use any photographs or videos for commercial purposes, brand promotion, media publication, or any other commercial use, they must contact Vidive at the time of booking for authorization and arrangements.

  3. Vidive and the photographer reserve the right to use selected photographs and videos for promotional purposes, including but not limited to websites, social media platforms, and marketing materials.

  4. Activity documentation photos and videos may also be taken by the Vidive team during the activity for promotional use on company websites or social media platforms. Participants with specific privacy concerns must notify customer service and staff before the activity begins.

【Health Conditions & Safety Responsibility】

  1. Participants must ensure that they are physically fit and medically suitable to participate in diving and related water activities.

  2. For safety and equipment limitations, participants aged 60 or above, overweight participants, or those with limited mobility are required to contact Vidive prior to booking for safety assessment and participation confirmation.

  3. Vidive reserves the right to refuse participation to any individual deemed unsuitable for the activity due to safety concerns, without liability or refund.

  4. Participants must follow all instructions given by instructors and staff members. Vidive shall not be held responsible for any injuries, losses, or accidents resulting from personal behavior, undisclosed medical conditions, or failure to follow safety instructions.

  5. All participants are required to sign the relevant liability waiver and medical declaration forms on the day of the activity. Vidive reserves the right to refuse participation without refund if participants fail or refuse to do so.

【Personal Belongings】

  1. Participants are responsible for safeguarding their personal belongings during the activity. Vidive shall not be liable for any loss, theft, or damage to personal property, although we will provide reasonable assistance whenever possible.

【Visionis Partnership Statement】

  1. Visionis Unlimited (“Visionis”) acts solely as a business partner of Vidive, providing customer acquisition support and payment collection agency services. Visionis does not provide any activities or services directly to customers and therefore bears no responsibility, obligation, or liability arising from Vidive’s activities, services, or operations. All responsibilities, obligations, and legal liabilities related to the activities and services are solely borne by Vidive.

  2. Indemnity Clause: By booking or participating in any Vidive activities or services, participants agree to release, defend, and hold harmless Visionis from and against any and all claims, demands, losses, liabilities, damages, costs, or expenses (including legal fees) arising out of or related to Vidive’s activities, services, or operations. This includes, but is not limited to, personal injury, property damage, cancellations, delays, or disputes.

In the event of any dispute regarding the above terms, V.I グループ株式会社 reserves the right of final interpretation and decision.

These Terms & Conditions shall take effect from the date of publication. Vidive reserves the right to amend or update the terms at any time without prior notice.
